1. Privacy at a glance

General information

The following notes provide a simple overview of what happens to your personal data when you visit this website. Personal data is any data by which you can be personally identified. For detailed information on data protection, please refer to the privacy policy set out below this text.

Data collection on this website: Who is responsible for collecting data on this website?

Data on this website is processed by the website operator, Vincent Systems GmbH. You will find the contact details in the section "Information on the controller".

How do we collect your data?

Some of your data is collected because you provide it to us. This may be data that you send us in an email or give us over the telephone, for example.

Other data is collected automatically, or with your consent, by the IT systems of our hosting provider when you visit the website. This is primarily technical data (for example your internet browser, operating system or the time the page was accessed). This data is collected automatically as soon as you enter this website.

What do we use your data for?

Part of the data is collected in order to ensure that the website is provided free of errors. In certain cases, personal data may also be used to perform a contract, to take steps prior to entering into a contract or, subject to your express consent, for advertising purposes. You will find a detailed list of the data collected and how it is used in section 4, "Data collection on this website".

What rights do you have regarding your data?

You have the right at any time to receive information about the origin, recipients and purpose of your stored personal data free of charge. You also have the right to request that this data be corrected or erased. If you have given consent to data processing, you may withdraw that consent at any time with effect for the future. In addition, you have the right, in certain circumstances, to request that the processing of your personal data be restricted.

You also have the right to lodge a complaint with the competent supervisory authority.

For this and for any further questions on the subject of data protection, you can contact us at any time at the address given below.

Analytics tools and third-party tools

This website uses the web analytics service Google Analytics to measure reach. It is only loaded after you have given your consent in the consent banner; before you consent, no connection to Google is established. Embedded videos from YouTube and Vimeo are likewise only loaded once you have expressly started them by clicking on them. The data transmitted in that process is described in section 5.

2. Hosting and content delivery network (CDN)

External hosting with Wix

This website is operated by an external service provider (hosting provider). The provider is Wix.com Ltd., Nemal Tel Aviv St. 40, Tel Aviv 6350671, Israel, and, for customers in the European Economic Area, Wix Ireland Ltd., 1 Grand Canal Street Upper, Dublin 2, Ireland (hereinafter "Wix").

The personal data collected on this website is stored on Wix's servers. This primarily concerns IP addresses, contact enquiries, meta and communication data, contract data, contact details, names, website access data and other data generated via a website.

The content of this website is delivered via Wix's delivery networks (static.parastorage.com, siteassets.parastorage.com, static.wixstatic.com, video.wixstatic.com and www-vincentsystems-de.filesusr.com). When a page is accessed, your IP address is transmitted to these servers; this is technically necessary so that the content can be delivered to your device.

Wix is used for the purpose of performing our contracts with our potential and existing customers (Art. 6(1)(b) GDPR) and in the interest of the secure, fast and efficient provision of our online offering by a professional provider (Art. 6(1)(f) GDPR).

An adequacy decision of the European Commission is in place for Israel. Transfers to the USA are described in the section "Transfer to third countries".

Conclusion of a data processing agreement

In order to ensure processing that complies with data protection law, we have concluded a data processing agreement with Wix in accordance with Art. 28 GDPR. Wix processes your data only to the extent necessary to perform its contractual obligations and follows our instructions when doing so.

Platform operating data and error diagnostics

When this website is accessed, data is additionally transmitted to platform services of our hosting provider: to frog.wix.com, panorama.wixapps.net and sentry-next.wixpress.com for measuring the availability, loading times and errors of the platform, and to browser.sentry-cdn.com – the Sentry service operated by Functional Software, Inc., 45 Fremont Street, San Francisco, CA 94105, USA – for recording program errors in the browser. The data transmitted consists of technical data such as your IP address, browser and device type, the page accessed and the time of access.

The legal basis is our legitimate interest in the technically error-free and secure operation of the website (Art. 6(1)(f) GDPR). These services are part of the platform and cannot be switched off via the cookie settings of this website; they are covered by the data processing agreement with Wix.

CleverReach

For sending and personalising our newsletters we use the service "CleverReach" provided by CleverReach GmbH & Co. KG, Schafjückenweg 2, 26180 Rastede, Germany. We use "CleverReach" in order to provide our potential and existing customers and interested parties with relevant information about products, news or special offers.

Purpose and legal basis of processing

The personal data collected on this website (for example name, email address) is, subject to the consent of potential and existing customers and interested parties, also used selectively in accordance with Art. 6(1)(a) GDPR for sending and personalising our newsletter. Consent is obtained by means of the double opt-in procedure: after registration, an email containing a confirmation link is sent in order to confirm the consent.

Disclosure of data to CleverReach

For the purpose of sending the newsletter, we transmit selected personal data to "CleverReach". The data is transmitted only after the corresponding consent has been given (see "Purpose and legal basis of processing"). "CleverReach" stores this data exclusively on servers within the European Union. The protection of the data is ensured by a data processing agreement with CleverReach in accordance with Art. 28 GDPR, which guarantees compliance with EU data protection standards.

Withdrawal of consent

Everyone has the right to withdraw their consent to the use of their data for sending the newsletter at any time. To do so, you can use the unsubscribe link in every newsletter or withdraw your consent by email to sales@vincentsystems.de. The withdrawal does not affect the lawfulness of the processing of personal data carried out up to that point.

3. General information and mandatory disclosures

Data protection

The operators of these pages take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with statutory data protection provisions and this privacy policy.

When you use this website, various items of personal data are collected. Personal data is data by which you can be personally identified. This privacy policy explains what data we collect and what we use it for. It also explains how and for what purpose this happens.

We would like to point out that data transmission over the internet (for example when communicating by email) can have security gaps. We take measures to protect your data. Complete protection of data against access by third parties is nevertheless not possible.

Information on the controller

The controller for data processing on this website is:

Vincent Systems GmbH
Albert-Nestler-Straße 28-30
76131 Karlsruhe
Germany
Telephone: +49 721 480 714 0
Email: s.schulz@vincentsystems.de

The controller is the natural or legal person who alone or jointly with others determines the purposes and means of the processing of personal data (for example names, email addresses or similar).

Transfer to third countries

When this website is operated, personal data may be transferred to countries outside the European Economic Area:

Israel – our hosting provider Wix.com Ltd. An adequacy decision of the European Commission is in place for Israel; no additional safeguard is therefore required.

USA – our hosting provider's error diagnostics service Sentry and, as soon as you start a video, Google and Vimeo. The transfer takes place on the basis of the EU-US Data Privacy Framework, insofar as the recipient is certified under it, and otherwise on the basis of the European Commission's standard contractual clauses pursuant to Art. 46(2)(c) GDPR.

We would like to point out that government authorities in the USA may access data under certain conditions and that you may not have the same legal remedies against this as within the European Union.

Consent and withdrawal

Insofar as we process data on the basis of your consent, you may withdraw that consent at any time. For cookies and similar technologies, please use the link "Cookie-Einstellungen" (cookie settings) in the footer of every page; there you can change your decision at any time. For the embedded videos it is sufficient to reload the page: no video will then be loaded until you click on one again. The lawfulness of the processing carried out up to the withdrawal remains unaffected.

Withdrawal of your consent to data processing

Many data processing operations are only possible with your express consent. You can withdraw consent you have already given at any time. An informal notification by email to us is sufficient. The lawfulness of the data processing carried out up to the withdrawal remains unaffected by the withdrawal.

Right to object to the collection of data in special cases and to direct marketing (Art. 21 GDPR)

If data processing is carried out on the basis of Art. 6(1)(e) or (f) GDPR, you have the right at any time to object, on grounds relating to your particular situation, to the processing of your personal data; this also applies to profiling based on those provisions. The respective legal basis on which processing is based can be found in this privacy policy. If you object, we will no longer process the personal data concerned unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves to assert, exercise or defend legal claims (objection pursuant to Art. 21(1) GDPR).

If your personal data is processed for direct marketing purposes, you have the right to object at any time to the processing of personal data concerning you for the purpose of such marketing; this also applies to profiling insofar as it is related to such direct marketing. If you object, your personal data will subsequently no longer be used for direct marketing purposes (objection pursuant to Art. 21(2) GDPR).

Right to lodge a complaint with the competent supervisory authority

In the event of infringements of the GDPR, data subjects have the right to lodge a complaint with a supervisory authority, in particular in the Member State of their habitual residence, place of work or the place of the alleged infringement. This right to lodge a complaint is without prejudice to any other administrative or judicial remedy.

Right to data portability

You have the right to have data that we process automatically on the basis of your consent or in performance of a contract handed over to you or to a third party in a commonly used, machine-readable format. If you request the direct transfer of the data to another controller, this will only be done insofar as it is technically feasible.

SSL/TLS encryption

For security reasons and in order to protect the transmission of confidential content, such as enquiries you send to us as the site operator, this site uses SSL or TLS encryption. You can recognise an encrypted connection by the fact that the address bar of the browser changes from "http://" to "https://" and by the padlock symbol in your browser bar. If SSL or TLS encryption is activated, the data you transmit to us cannot be read by third parties.

Information, deletion and correction

Within the framework of the applicable statutory provisions, you have the right at any time to obtain free information about your stored personal data, its origin and recipients and the purpose of the data processing and, where applicable, a right to have this data corrected or erased. For this and for any further questions on the subject of personal data, you can contact us at any time at the address given above.

Right to restriction of processing

You have the right to request the restriction of the processing of your personal data. To do so, you can contact us at any time at the address given above. The right to restriction of processing exists in the following cases:

If you dispute the accuracy of the personal data we hold about you, we usually need time to verify this. For the duration of the verification, you have the right to request the restriction of the processing of your personal data.

If the processing of your personal data was or is unlawful, you may request the restriction of the data processing instead of erasure.

If we no longer need your personal data but you need it to exercise, defend or assert legal claims, you have the right to request the restriction of the processing of your personal data instead of its erasure.

If you have lodged an objection pursuant to Art. 21(1) GDPR, a balance must be struck between your interests and ours. As long as it has not yet been determined whose interests prevail, you have the right to request the restriction of the processing of your personal data.

If you have restricted the processing of your personal data, this data may – apart from being stored – only be processed with your consent or to assert, exercise or defend legal claims or to protect the rights of another natural or legal person or for reasons of important public interest of the European Union or a Member State.

4. Data collection on this website

Cookies

Our website uses what are known as "cookies". Cookies are small text files and do not cause any damage to your device. They are stored on your device either temporarily for the duration of a session (session cookies) or permanently (persistent cookies). Session cookies are deleted automatically at the end of your visit. Persistent cookies remain stored on your device until you delete them yourself or until they are deleted automatically by your web browser.

Cookies have various functions. Many cookies are technically necessary because certain website functions would not work without them. Cookies that are required to carry out the electronic communication process (necessary cookies) or to provide certain functions requested by you (functional cookies) are stored on the basis of Art. 6(1)(f) GDPR, unless another legal basis is stated. The website operator has a legitimate interest in storing cookies for the technically error-free and optimised provision of its services. Where consent to the storage of cookies has been requested, the cookies concerned are stored exclusively on the basis of that consent (Art. 6(1)(a) GDPR); the consent can be withdrawn at any time.

You can set your browser so that you are informed about the setting of cookies and only allow cookies in individual cases, exclude the acceptance of cookies for certain cases or in general, and activate the automatic deletion of cookies when the browser is closed. If cookies are deactivated, the functionality of this website may be restricted.

This website uses the consent banner of the Wix platform. Before you make your decision, only cookies that are technically necessary for the operation of the website are set. Using the button "Nur notwendige Cookies" (necessary cookies only) you reject all others; using "Cookie-Einstellungen" (cookie settings) you can select individual purposes and change your decision at any time. Your selection is stored in a cookie so that the website can take it into account during further visits.

Which cookies we use

The following overview lists all cookies that were measured on this website on 16 September 2026. Cookies in the "necessary" category are set without your consent; all others are set only after you have given your consent.

Without your consent (technically necessary):

ssr-caching (Wix) – records whether the page was delivered from the cache – 20 seconds
server-session-bind (Wix) – assigns your requests to the same server – session
XSRF-TOKEN (Wix) – protects forms against forged requests – session
hs (Wix) – security identifier of the current session – session
svSession (Wix) – recognises returning visitors and links their page views – 400 days
consent-policy (Wix) – stores your decision made in the consent banner – 365 days

Only after your consent (analytics):

bSession (Wix) – measures the loading time of the website for troubleshooting – 30 minutes
_ga (Google) – distinguishes visitors for reach measurement – 400 days
_ga_5GW9E89BJF (Google) – maintains the session status for Google Analytics 4 – 400 days
_gid (Google) – distinguishes visitors within one day – 24 hours
_gat_gtag_UA_188649725_1 (Google) – limits the number of requests to Google Analytics – 60 seconds

Only after you click on a video:

__cf_bm (Vimeo) – detects automated access – 30 minutes

According to our measurements, no cookies are set when a YouTube video is played, because the videos are embedded in extended privacy mode via youtube-nocookie.com.

In addition, the Wix platform stores two entries in your browser's local storage (fedops.logger.sessionId and mpaSessionId). They serve to measure errors and performance of the page, are set without consent and are removed when the browser is closed or when the browser data is deleted.

Server log files

The provider of the pages automatically collects and stores information in what are known as server log files, which your browser transmits automatically. These are:

browser type and browser version
operating system used
referrer URL
host name of the accessing computer
time of the server request
IP address

This data is not merged with other data sources. It is collected on the basis of Art. 6(1)(f) GDPR. The website operator has a legitimate interest in the technically error-free presentation and optimisation of its website – for this purpose, the server log files must be recorded.

Enquiries by email, telephone or fax

If you contact us by email, telephone or fax, your enquiry including all personal data resulting from it (name, enquiry) will be stored and processed by us for the purpose of handling your request. We do not pass this data on without your consent.

This data is processed on the basis of Art. 6(1)(b) GDPR if your enquiry is connected with the performance of a contract or is necessary in order to take steps prior to entering into a contract. In all other cases, the processing is based on our legitimate interest in the effective handling of the enquiries addressed to us (Art. 6(1)(f) GDPR) or on your consent (Art. 6(1)(a) GDPR) if this has been requested.

The data you send us remains with us until you ask us to delete it, withdraw your consent to its storage or the purpose for storing the data no longer applies (for example once your request has been dealt with). Mandatory statutory provisions – in particular statutory retention periods – remain unaffected.

Contact form

On the page "Your Hand" we offer a contact form. We collect your first name, surname, email address, postcode and town, country, optionally your telephone number, and your statements about what you are interested in and for whom you are looking for a prosthesis. Your message to us is added to this.

Your statements may reveal that you or someone close to you needs a prosthesis. This constitutes health data within the meaning of Art. 9(1) GDPR. We process this information exclusively on the basis of your explicit consent pursuant to Art. 9(2)(a) GDPR, which you give via the checkbox before submitting the form. For the remaining information, the legal basis is Art. 6(1)(a) GDPR and, insofar as your enquiry is aimed at a contract, Art. 6(1)(b) GDPR.

Your consent is voluntary; without it we cannot process your enquiry submitted via the form. You may withdraw your consent at any time with effect for the future, informally by email to service@vincentsystems.de. The lawfulness of the processing carried out up to the withdrawal remains unaffected.

The form is provided by our hosting provider Wix; your entries are stored on Wix's servers and transmitted to us. Further details can be found in the section "External hosting with Wix". The data is not passed on to any other third parties.

The data you send us remains with us until you ask us to delete it, withdraw your consent or the purpose for storing it no longer applies (usually once your request has been dealt with). Mandatory statutory retention periods remain unaffected.

Job applications

On our careers pages we invite applications by email to bewerbung@vincentsystems.de. We process the data you send us in that context – usually a covering letter, curriculum vitae, references, evidence of training and studies, your salary expectations and your earliest possible starting date – exclusively in order to carry out the application procedure.

The legal basis is Art. 6(1)(b) GDPR in conjunction with Section 26(1) sentence 1 BDSG (German Federal Data Protection Act): the processing is necessary for the decision on establishing an employment relationship. Insofar as your documents contain special categories of personal data (for example information on a severe disability or on health), their processing is based on Section 26(3) BDSG or on your consent.

Only the people involved in the selection procedure have access to your documents. They are not passed on to third parties.

If you are hired, we add your documents to your personnel file. Otherwise we delete them no later than six months after the procedure has been concluded. This period takes into account the time limits for asserting claims under the German General Equal Treatment Act. If you would like us to keep your documents beyond that for future vacancies, please let us know; we will then store them on the basis of your consent pursuant to Art. 6(1)(a) GDPR for a further twelve months. You may withdraw this consent at any time.

Please note that an unencrypted email can be read by third parties. If you wish to avoid this, please send us your documents by post.

Events and training courses

We offer registration for trade fairs, symposia and certification courses. Depending on the offer, registration takes place either via a form on this website or via our training portal at portal.vincentsystems.de.

In this context we collect your first name and surname, business email address and telephone number, company name, VAT identification number, company and invoice address, as well as your statements about training courses you have already attended, certificates you hold and the prosthetic systems you have worked with. We need this information in order to organise your participation, to tailor the course to your prior knowledge and to invoice your attendance.

The legal basis is Art. 6(1)(b) GDPR, as the processing is necessary for the performance of the participation contract or for steps taken prior to entering into it. Insofar as you provide additional information voluntarily, its processing is based on our legitimate interest in delivering the training course in line with actual needs (Art. 6(1)(f) GDPR).

We delete your information as soon as it is no longer required for these purposes. Commercial and tax retention periods remain unaffected; we retain invoice data for ten years.

The training portal at portal.vincentsystems.de is a separate system. The privacy policy of that portal applies to the processing carried out there.

5. Plugins and tools

Google Analytics

Subject to your consent, this website uses the web analytics service Google Analytics. The provider for users in the European Economic Area is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

Google Analytics enables us to analyse the behaviour of visitors to our website. In doing so we learn, for example, which pages are accessed and how long they are viewed, by which route visitors reached us and which device and which approximate region were used. For this purpose Google sets cookies on your device and uses them to create pseudonymous usage profiles; which cookies these are and how long they are stored is set out in the table in the section "Cookies". The service is integrated via the Google tag (gtag.js), which is stored directly in the Wix platform; Google Tag Manager is not used.

Google Analytics is only loaded after you have given your consent in the consent banner. Before you consent, no connection to Google is established. The legal basis is exclusively your consent pursuant to Art. 6(1)(a) GDPR and Section 25(1) TDDDG (German Digital Services Data Protection Act). You can withdraw your consent at any time via the link "Cookie-Einstellungen" (cookie settings) in the footer of every page; the lawfulness of the processing carried out up to that point remains unaffected.

In this context, data may also be transferred to Google servers in the USA. For the United States, an adequacy decision of the European Commission dated 10 July 2023 is in place (EU-US Data Privacy Framework); Google is certified under this framework. In addition, we have agreed the European Commission's standard contractual clauses with Google. The processing is carried out on the basis of a data processing agreement pursuant to Art. 28 GDPR.

The cookies set in your browser expire after the periods stated in the section "Cookies". The event and user data stored at Google is deleted automatically after the retention period set in our Google Analytics account; this period is no more than 14 months.

You can additionally prevent collection by Google Analytics by installing the browser plug-in provided by Google: https://tools.google.com/dlpage/gaoptout?hl=en

Further information on how user data is handled can be found in Google's privacy policy: https://policies.google.com/privacy?hl=en

YouTube (two-click solution)

Videos from the YouTube platform are embedded on this website. The provider for users in the European Economic Area is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

When you access our pages, no connection to YouTube or Google is established. The videos are initially shown only as a preview image with a title; these preview images are held on our own pages and are not loaded from Google. Only when you click on a video and thereby expressly start it is the player loaded from youtube-nocookie.com. In doing so, your IP address is transmitted to Google, and Google learns which of our pages you have visited. If you are logged into your Google account, Google can assign your browsing behaviour to your profile; you can prevent this by logging out beforehand.

We use YouTube in extended privacy mode (youtube-nocookie.com). According to Google's own statement, no cookies for recognising individual visitors are set before a video is played; data is nevertheless transmitted to Google in this mode as well.

The legal basis is your consent, which you give by clicking on the video (Art. 6(1)(a) GDPR). It applies to the respective video and can be withdrawn at any time: if you reload the page, no video will be loaded until you click on one again.

Further information on how user data is handled can be found in Google's privacy policy: https://policies.google.com/privacy?hl=en

Vimeo (two-click solution)

Videos from the Vimeo portal are embedded on this website. The provider is Vimeo.com, Inc., 330 West 34th Street, 5th Floor, New York, NY 10001, USA.

When you access our pages, no connection to Vimeo is established. The videos are initially shown only as a preview image with a title; these preview images are held on our own pages. Only when you click on a video and thereby expressly start it is the Vimeo player loaded. In doing so, your IP address is transmitted to Vimeo, and Vimeo learns which of our pages you have visited. This also applies if you do not have a Vimeo account. If you are logged into your Vimeo account, Vimeo can assign your browsing behaviour to your profile; you can prevent this by logging out beforehand.

The videos are embedded with the parameter "dnt=1". Vimeo thereby refrains from using cookies for analytics purposes and from recording usage statistics for that video. Your IP address is nevertheless transmitted after the click, because this is technically necessary in order to deliver the video.

The legal basis is your consent, which you give by clicking on the video (Art. 6(1)(a) GDPR); it can be withdrawn at any time.

Further information on how user data is handled can be found in Vimeo's privacy policy: https://vimeo.com/privacy
